TITLE: Administrative Assistant for Engineering and Customer Service

REPORTING TO: Engineering Administrator / Customer Service Manager

An administrative assistant is the supportive force behind both, and we are currently seeking someone exceptional to take this open position.
The ideal candidate will be a problem solver who has excellent communication skills and impeccable attention for detail.
The candidate should also have experience working in an office environment, performing administrative tasks, and providing support to coworkers.
An ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.
Has Microsoft excel knowledge.
MAJOR FUNCTIONS AND RESPONSIBILITIES:
Ability to interact professionally with others, internally and externally.
Provide administrative support to Customer Service and Engineering Departments
Strong customer service orientation and excellent interpersonal skills with emphasis on integrity and discretion.
Ability to understand basic operational issues and utilize that knowledge in daily work.
Ability to perform basic level of data analysis including the ability to review, classify, categorize, prioritize and/or reference data, statutes and/or guidelines and/or group, rank, investigate and problem solve.
Prepare BOL/Shippers, NAFTA Documents for products needed for all customer locations on a daily basis (multiple times daily) including the need to revise shippers with amended/most up to date information.
Ability to prepare spreadsheets, logs, memos, reports, letters, routine correspondence, and other job-related documents using prescribed format.
Ability to organize and manage workload and multi-task.
EDUCATION AND EXPERIENCE REQUIRMENTS:
College associate degree preferred, with a minimum of High School Diploma and equivalent work experience.
Minimum of (5) years of administrative experience in a manufacturing environment with proven knowledge.
Must be detailed oriented and pay close attention to accuracy.
Minimum of (5) years’ experience with Microsoft products (Word & Excel).
Must possess MRP/ERP experience, QAD Preferable.
Able to analyze information gathered in order to identify potential problems and discrepancies.
As well as the ability to resolve such issues effectively and timely.
Regularly required to sit, bend, stand, lift to 30 pounds.
Ability to work in both an Office or Plant environment with occasional exposure to elements such as odor, noise, dust, heat, cold or chemicals.
A valid drivers’ license is required.
High Degree/Sense of Urgency is required along with prioritization and self-accountability.
